Ai Lean (“Ai Lean,” “we,” “our,” or “us”) provides a software platform designed to automate delinquency management, compliance workflows, and lien processes for self-storage operators.

This Privacy Policy explains how we collect, use, and protect information when you use our website and platform.

The categories of personal information we collect, and the purposes for which we use them, are described below.

1. Information We Collect

We collect the following types of information:

a. Account Information

  • Name, email address, phone number

  • Company and facility information

  • Login credentials

b. Customer Data

As part of our services, customers may upload or process tenant-related data, which may include:

  • Tenant names and contact details

  • Payment and delinquency status

  • Communications and notices

  • Auction-related records

  • Other regulatory and non regulatory data necessary for compliance, delinquency and lien processes

Important: This data is processed solely on behalf of our customers (self-storage operators), who are the data controllers.

c. Usage & Technical Data

  • IP address

  • Device and browser type

  • Log data and system activity

  • Platform usage patterns

d. Cookies & Tracking Technologies

We use cookies and similar technologies to:

  • Improve platform performance

  • Analyze usage

  • Support marketing efforts

2. How We Use Information

We use collected information to:

  • Provide and operate the platform

  • Facilitate delinquency management workflows

  • Maintain compliance tracking and documentation

  • Communicate with users (including system notifications and updates)

  • Improve platform functionality and performance

  • Provide customer support

  • Send marketing communications (opt-out available)

3. Data Processing Role

Ai Lean acts as a:

  • Data Processor for customer (tenant) data

  • Data Controller for our own business data (e.g., marketing, account info)

Customers are responsible for ensuring they have the legal right to collect and process tenant data within our platform.

4. Data Sharing

We do not sell personal data. We do not sell or share personal information for cross-context behavioral advertising purposes.

We may share information with:

  • Trusted service providers (hosting, analytics, communications tools)

  • Legal or regulatory authorities when required

  • Partners or integrations required by services

SMS & Mobile Data Privacy

No mobile information will be sold or shared with third parties for promotional or marketing purposes.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We may share your personal data, including your SMS opt-in or consent status, only with service providers that assist us in delivering messaging services (such as messaging platforms, telecommunications providers, and vendors involved in message delivery), and solely for the purpose of providing those services.

5. Data Security

We implement administrative, technical, and physical safeguards to protect data, including:

  • Encryption in transit and at rest (where applicable)

  • Access controls and authentication measures

  • Audit logs and system monitoring

However, no system is completely secure.

6. Data Retention

We retain data:

  • As long as necessary to provide services

  • As required for legal, regulatory, or contractual obligations

  • That is regulatory and non regulatory and necessary for compliance, delinquency and lien processes

  • Based on customer configuration and agreements

Retention periods are determined based on the nature of the data, the purpose for which it was collected, and applicable legal or contractual obligations

7. Your Rights

Depending on the state in which you reside, you may have the following rights regarding your personal information:

• Right to Know. You may request that we disclose the categories of personal information we have collected about you, the categories of sources from which it was collected, the purposes for which it is used, and the categories of third parties with whom it is shared.

• Right to Delete. You may request that we delete personal information we have collected from you, subject to certain exceptions (such as information needed to complete a transaction, comply with a legal obligation, or maintain security).

• Right to Correct. You may request that we correct inaccurate personal information we maintain about you.

• Right to Opt Out of Sale or Sharing. You may request to opt out of the sale or sharing of your personal information. Ai Lean does not sell personal information or share it for cross-context behavioral advertising purposes.

• Right to Non-Discrimination. We will not deny, charge different prices for, or provide a degraded level of service as a result of you exercising any of the rights described above.

How to Submit a Request. To exercise any of these rights, submit a verifiable request to us at legal@ai-lean.com or by mail at 117 Kendrick St, Suite 300, Needham, MA 02494. We will respond within 45 days of receipt. Where reasonably necessary, we may extend this period by an additional 45 days with prior written notice.

Note for Tenant Data. If you are a self-storage tenant whose data has been processed through our platform on behalf of an operator, please direct your request to the operator (the data controller). We will assist operators in fulfilling such requests as required by applicable law.

8. Third-Party Services

We may use third-party tools such as:

  • CRM and customer communication tools (e.g., HubSpot)

  • Analytics providers (e.g., Google Analytics)

  • Email platforms (e.g., Kit)

These providers process data under their own terms.


9. Children’s Data

Our platform is not intended for individuals under 18.

10. Updates

We may update this Privacy Policy periodically. Continued use of the platform constitutes acceptance of updates.
